Illustrated preview of the volunteer sign-up sheet

What is it for?

Turn offers of help into a useful recruitment list. This sheet keeps a preferred contact route, availability and role interests together so a coordinator can follow up consistently.

Use for an initial expression of interest. A sign-up is not an appointment or confirmation that someone has completed recruitment checks. The coordinator should collect entries privately; do not circulate everyone’s contact details on a public clipboard.

How to use this template

  1. Add your event, coordinator and privacy notice before collecting details.
  2. Ask each person for only the contact information needed to follow up.
  3. Record role interests, relevant skills and available sessions.
  4. Contact each volunteer, complete your recruitment process and transfer confirmed shifts to the rota.

Make it your own

Open the Excel workbook in Excel or import it into Google Sheets. Read the setup notes, then adapt the rows to your event. The CSV is a plain data version; the PDF is laid out for printing.
